Payment statuses

Every status a payment can have, what it means, and what to do about it.

Every incoming payment in Drypowder has a status that tracks where it is in its lifecycle. This page defines each status and what it means.

Status definitions

Pending

The customer submitted the payment through the Payments portal. The payment has been created but funds have not been confirmed yet.

For card payments, Pending is brief. Card authorizations complete in seconds and the payment moves to Settled quickly.

For ACH payments, Pending lasts 1 to 3 business days while the ACH transaction clears through the banking network.

Action required: None. The payment is processing normally.

Settled

The payment has completed and has been assigned to a settlement. Settled payments are grouped into settlement batches on the Settlements tab for GL posting. (A payment shows Settled only when it is completed and assigned to a settlement; a completed payment not yet in a settlement shows Completed.)

What to expect: The payment is ready to be posted to the Spruce GL via the settlement workflow.

Action required: Post the settlement to the GL (auto-post or manual).

Completed

The payment has completed but has not yet been assigned to a settlement. It will move to Settled once it is grouped into a settlement batch.

Action required: None. The payment will be picked up into a settlement.

Frozen

The payment has been flagged through the Review Failed Payments flow. Freezing keeps the payment as-is and prevents the invoices, debits, and credits it covered from becoming eligible for payment again.

When to freeze: Use this when something looks wrong with a failed payment and you do not want the underlying items reopened for the customer to pay.

Action required: Investigate the issue. Freezing holds the items; terminating reopens them.

Terminated

The payment has been terminated through the Review Failed Payments flow. Terminating makes the invoices, debits, and credits the payment covered eligible for payment again.

When to terminate: Use this when a failed payment should not proceed and the underlying items should be reopened so the customer can pay them another way.

Action required: None. The items are eligible for payment again.

Reversed

The payment was completed but later reversed, for example after an ACH return.

Action required: Investigate the reversal and follow up with the customer if needed.

Failed

The payment did not complete. The customer can attempt payment again.

Action required: None required; the customer may retry.

Canceled

The payment was canceled before completing, either by the system or by the customer.

Action required: None.
